Many teams build this pipeline so new hires get accounts on day one. They also use it to turn off accounts when someone leaves the company. Still, teams often attach broad group roles to these synced profiles. A new engineer might get full database permissions right after their account goes live. That creates risk when people run queries or commands against production systems.
How the adp to entraid architecture works
The workflow starts in ADP, which acts as the source of truth for worker data. When HR adds a person or changes a job title, ADP updates that worker record. An inbound provisioning app or integration service reads those worker records on a set schedule. It pulls basic fields like work email, job title, department, and employment status.
Next, a mapping step matches each ADP field to an Entra ID user attribute. The sync engine checks if a matching user already exists in the cloud directory. If no user exists, the service creates a new account and assigns default groups. If the user exists, the service updates their department, manager, or role assignments.
When HR marks a worker as terminated in ADP, the sync detects that change. The service then blocks sign-in for that Entra ID account during the next sync cycle. Dynamic groups in Entra ID can also read the synced department attribute. Those groups grant app and database roles based on the user's current team.
Why directory sync is only the first step
Syncing HR data to your identity provider solves account creation and removal. It stops former workers from logging into company apps after their last day. It also saves IT teams from creating accounts by hand for every new hire. Your directory stays aligned with the real org chart in your HR system.
Still, identity provisioning only decides who gets an account and which groups they join. It does not check what a valid user does inside a database or server. Once an engineer logs in with their Entra ID role, they hold standing permissions. A broad group assignment lets them run dangerous commands or read whole tables.

Directory sync also cannot inspect live queries or hide sensitive fields in results. If a table holds customer emails, phone numbers, or card numbers, the user sees them. Entra ID logs show that a user signed in, not which rows they read. To control real actions, teams must pair directory sync with controls at the command level.
Managing permissions after users sync
When you map ADP job titles to Entra ID groups, keep default permissions minimal. Map basic birthright groups for email and chat, not production databases or cloud consoles. Avoid tying high-level admin roles directly to department names from your HR system. People change projects often, and HR records rarely track daily technical needs.
Review your attribute mappings often to make sure test fields do not grant live roles. Check sync logs for failed updates when someone moves to a new department. If a sync fails, an engineer might keep old database roles from their past team. Clear separation between HR onboarding and production data operations keeps systems safer.
Govern statements and responses across databases and APIs
Good config and scoped roles are needed setup. They do not check single queries in flight or mask sensitive fields in returned rows. Across Postgres, MySQL, SQL Server, MongoDB, ClickHouse, Kubernetes APIs, SSH, and internal HTTP endpoints, hoop.dev runs beside each supported service as an open-source proxy, a sidecar for your database or API.
First, hoop.dev guardrails block banned queries before they run. Then hoop.dev data masking rewrites matched sensitive values in responses in memory. The audit trail records every statement and verdict per resource. Furthermore, hoop.dev holds SOC 2 Type II and is open source on GitHub.
Frequently asked questions
What happens when an employee changes departments in ADP?
The sync updates the user's department attribute in Entra ID during the next run. Dynamic groups then add new team roles and remove old ones based on that attribute.
Does an ADP to EntraID sync remove active database sessions?
No, disabling a user in Entra ID only blocks new logins to linked apps. Any open database or server sessions with local keys stay active until they time out.
Can HR data control fine-grained database permissions?
HR data can assign broad directory groups based on job title or department. It cannot inspect individual SQL statements, block risky commands, or rewrite sensitive fields in query results.
